The terrain
At Hotel Pentagon South, operations run on a lot of small, repetitive back-office work. Managers, housekeeping, and corporate each need to know whether rooms meet the standard, but checking and reporting on room quality was manual and inconsistent between properties. In sales, every group booking arrived with a rooming list that staff had to reformat by hand into a required proprietary format, a task that consumed at least 1-2 hours per list and invited errors.
The route
DataTrek applied its platform engineering and Applied AI expertise to consumer-centric product development, with one rule: identify a specific point of friction, then build the fastest, simplest web application that removes it. Each product is designed around the people who use it, from a housekeeper on a phone to a corporate reviewer comparing properties.
The first product was a Room Audit application that lets hotel managers, housekeeping, and corporate easily monitor room quality in one place. The second was an AI Powered Rooming List Converter that takes the lists sales staff receive and produces the required proprietary format automatically in under 2 minutes.
The summit
Room quality is now visible to everyone who needs it without a paper checklist or a phone call, and sales staff get back the many hours they once spent reformatting rooming lists. DataTrek’s ability to efficiently understand and improve entrenched processes/workflows has transformed the productivity of the back office. Each new product targets the next piece of back-office friction.
